After you have taken care of that very important step, keep the following tips in mind to maximize your conference call’s success.

Silence Is Golden.  Making a conference call in an office that doesn’t have closed doors is akin to making a call from a loud restaurant.  The microphone on the phone will pick up all sorts of outside noise, detracting from your professionalism, and from what you have to say.  If at all possible, make your conference calls from a quiet room. 

If you absolutely cannot avoid placing a conference call from a noisy room, make sure to use the “mute” button on your phone until you (or your colleagues) are required to speak, thus minimizing the noise on your conference call.

Conferencing Favors The Prepared Mind.  The more you prepare in advance for a conference call, the better it is likely to go.  Adequate planning starts with planning the call in advance with dial-in number, pass codes, and other information.  Make sure that you know the time zone of the parties included, so you can conference call at a time that works for everyone. 

Have your agendas, hand-outs, and other presentation materials prepared and available before the conference call starts.  Treat each conference call as if it were a meeting, and make sure that all attendees (including you!) are adequately informed and prepared to efficiently discuss the matters at hand. 

And, start each conference call on time.  If you are well organized, you should be able to start your conference call at the time it was set with very little trouble.  Timeliness is always appreciated, especially when a group of people from several different time zones is involved. 

Hearing Is Not Believing. Do not assume that everyone is able to recognize your voice.

Say your name during the conference call each time you speak so that people know you are the one speaking.  And, likewise, don’t assume that you are able to recognize another caller’s voice over a conference call.  If you aren’t sure who is speaking, then ask, as it is better than operating under a case of mistaken identity. 

You Don’t Want This Kind Of Feedback.  During a call you want to get feedback from the other participants, not your headset.  Headsets and speakerphones are notorious enemies, and if you attempt to use your headset while a speakerphone is being used for a conference call, the resulting feedback is neither pleasant nor helpful. 

Put Distractions On Hold, Not The Call.  Most of the time, when you put a party on hold, in a conference call or not, hold music plays.  This hold music can be a real distraction if it blares out of a speakerphone during a conference call.  So, instead of trying to multi-function while on a conference call, focus your energies on the conference call and make the distractions wait.
